Share search results

In the Share a file and Share snapshots articles, you learned how to share links to files and snapshots with other members of your team. Both of these features only let you share one single file or snapshot at a time.

If you need to share multiple files at once. ShareSearch feature lets you create a link that someone else can use to view all files that returned as the results of a search you did. ShareSearch can therefore be used to simultaneously share multiple files (as long as the files can be pulled as the result of a one search)

Example use: Safety monitoring. Say you regularly need to review site imagery from a project for any visible safety infractions.

  1. Create a tag definition for ‘people' and enable image tagging.
  2. Create tag definitions for ‘Safe’ and ‘Unsafe.' Enable manual tagging for both
  3. Search for the ‘people’ tag regularly to see pictures that have been SmartTagged as showing workers. Review pictures and manually tag them as ‘Safe’ or ‘Unsafe’.
  4. Search for the ‘Unsafe’ tag to pull all pictures marked as needing review.
  5. Use Share Search to share all result pictures with a single link!

The receiving user to see the search result just as you did, with some reduced icon functionality. An example Share Search page is shown here: 

The user can click on/view files in the media reviewer; depending on permission settings, existing users may also be able to add tags and comments to individual files. The cog taskbar icon can also be used to  download copies of files.


Using Share Search

After you  search a project, follow these steps to share the results:

  • Perform a search to pull up the results you want to share. Use the Sort and Group icons above the Share Search button to customize how files will be sorted and grouped within your ShareSearch link.

  • When you have chosen your group and sort display settings, click the button highlighted above to open the Share Search pop-up. Use the radio buttons to select one of the two possible sharing methods:
Send an email with a link

Choose this to send an email with a hyperlink to the file and an optional message of your choice.

For this option, follow these next steps:

  • Type the email address to share with. As you type, matches with emails of existing users will be auto-suggested. If the person entered is not registered in Smartvid.io, they will receive an email invitation to join Smartvid.io and view your file.
  • Unlike sharing individual files, you don’t need to select a permission level: the default permission is Can View. Existing users may be able to also edit the tags/comments/markup of specific files, depending on on their project role.
  • Click the + icon to save. Repeat the last 3 steps for any additional people you want to share with.
  • Include an optional note in the Message field.
  • Click Send.
Create a shareable link

Choose this to create a hyperlink to the file. You can then copy paste the link wherever you want to share it.

For this option, follow these next steps:

  • Click to expand the Share With drop-down menu. Choose if you'd like to link to be (a) viewable only to project members, or (b) viewable to all organization users (meaning anyone in the project’s parent organization).
  • Unlike sharing individual files, you don’t need to select a permission level: the default permission is Can View. Existing users may be able to also edit the tags/comments/markup of specific files, depending on on their project role.
  • Click the Copy Link button to copy the Share Search link  to your computer’s clipboard. You should see this pop-up confirmation in the upper right corner of the screen:

  • Use the paste keyboard shortcut (Ctrl + V on Windows, Command ⌘ + V on Macs) to paste the link into the browser, email client, document, etc. where you’d like to share it.
  • Click Done to close the pop-up.
